Hi Lisa, Esmee and Nora,
Recently we have had some challenges with our communication and our file organisation and formats.
Please note these ‘ground rules’ which should help. We are open to your feedback about them – we’re trying to improve the way we work together.
Lisa and Esmee
If you are not with us in person, please let us know every day at 6pm by email or phone what you have done that day and what point you are at in any current projects. Upload any files from that day to DropBox whether they are finished or not. This applies even on days when we have had our Grain meeting. You can set an alarm on your phones to remind you!
Nora
Please respond to our emails within 24 hours letting us know your availability to work on projects.
Everybody – file organisation
In DropBox we will follow the organisation “client code client name” (e.g. PW12 Perrywinkle’s) > OUR PROCESS > Designer’s name. Please keep all files in your folder without creating any further sub-folders apart from fonts and links. That way we will avoid having lots of sub-folders or the same file duplicated when it is inside a packaged folder. You can name your versions simply v1, v2, v3 etc. without creating something like v1.1.
Everybody – file formats
CS5 compatible, with all files packaged (fonts and links available) for all versions. This includes Illustrator files (which you will need to “package” manually). This also eliminates the need to outline fonts which we can’t edit.
Everybody – notifying us of updates
When you upload or update any file to DropBox, even if we have agreed it ahead of time, please email us to notify us. That way we don’t have to keep checking for updates – your email will let us know that it has been done.
Please read this and write back to Christoph and me acknowledging that you have understood and agree to everything – or otherwise!
Thank you.
Madelyn
